Position Overview
We are a growing pediatric physical and occupational therapy group who provides treatment for infants and parents in the postnatal period. We are seeking a compassionate, organized, and professional Patient Care Coordinator to join our team. This role is essential to ensuring a positive and seamless experience for our patients and families.
The Patient Care Coordinator serves as the primary point of contact for families, supports therapists with scheduling and administrative needs, and helps maintain an efficient, welcoming clinic environment.
This is an in-clinic, part-time position (25-30 hours per week) at $19-$23 per hour, with an opportunity to grow into a full-time role.
Key Responsibilities
Patient & Family Support
Greet and check in patients and families with warmth and professionalism
Answer phone calls and respond to emails in a timely manner
Schedule, reschedule, and confirm therapy appointments
Provide clear communication regarding appointments, policies, and procedures
Maintain patient confidentiality and HIPAA compliance
Schedule optimization and productivity management
Administrative & Office Coordination
Manage daily appointment schedules for physical and occupational therapists
Collect and process payments
Maintain accurate patient records in the electronic medical record (EMR) system
Assist with intake paperwork and onboarding new families
Coordinate communication between therapists and families
Operational Support
Monitor clinic flow, tidiness, and help ensure sessions run on time
Support therapists with administrative needs
Maintain an organized front desk and reception area
Assist with light office management tasks (supply tracking, document organization, etc.)

Ability to multitask in a fast-paced clinical environment
High attention to detail and accuracy
Basic proficiency with computers and scheduling systems
Experience using AI, meta/social media platforms, canva (preferred but not required)
Experience in an administrative healthcare or pediatric setting (preferred but not required)
